About the Role:

The Service Coordinator is the initial point of contact for all clients and the incumbent is responsible for tracking and scheduling consultations for follow-ups and lab reviews. In addition, the Service Coordinator is responsible for meeting with Center Physicians and Patients, to include answering phones, appointment scheduling, assisting with questions or concerns, maintaining patient requests, and updating/maintaining patient files. As the initial point of contact, the Service Coordinator is expected to always adhere to a 5-Star Client Experience Standards.


Essential Job Functions and Responsibilities:

  • Oversee the coordination of the following administrative tasks:
    • Schedule appointments
    • Greet clients and visitors
    • Distribute and route calls, voicemails, and faxes
    • Distribute and collect forms
    • Scanning, filing and data entry
  • Assist with the coordination of various client activities to include:
    • Assist in coordinating client’s day
    • Provide information to clients, as needed
    • Maintain, release and file client information in compliance with HIPAA, State, and Federal regulations
    • Assist with the client close process
    • Manage client records and filing
    • Order, pick-up and serve lunches to client, as needed
  • Serve as brand ambassador by providing 5-star service
  • Work cross-functionally with Member Experience, Corporate staff and other teams
  • Operate computer to upload diagnostic results into patient EMR and complete tasks as assigned
  • Perform under the protocols, established procedures and with prior experiences to make decisions based on the Company’s best interest and to its benefit
  • Manage day-to-day communications with Center Physicians and staff provide Center support and issue resolution
  • Track consultations and take appropriate action when there is no response
  • Provide all information to Center Staff and assists with questions, concerns, and issues as they arise
  • Demonstrate strong customer (internal/external) service skills and ability to manage professional and interpersonal relationships well
  • Have a thorough understanding of the Company and its offerings to effectively communicate with Physicians and Clients
  • Constantly meet established productivity, schedule adherence, and quality standards while maintaining a good attendance record
  • Other duties as assigned
  • Regular and reliable attendance is an essential function of the job


Education and Experience

  • Minimum high school diploma or GED
  • 2+ years of experience in a client facing service environment
  • Nice to have demonstrated experience within medical field
  • Must be proficient with office equipment and technology including Microsoft Office
  • Support experience in a health focused company, is nice to have
  • Ability to maintain strict confidentially regarding sensitive and proprietary information
  • Must maintain a professional, neat, and well-groomed appearance
  • Demonstrated responsibilities within administrative, operational, or staff assisting roles
