What you will be doing:

About the Role

The Marketing Project Manager is responsible for day-to-day management and coordination of assigned marketing activities required for various projects. This role will interface with other departments to manage timelines, workflow processes, scheduling, trafficking, and serves as the conduit between Sales, Marketing, Clinics and Operations to ensure all teams are on point to deliver the creative needs identified by the overall strategy and objectives. The Marketing Project Manager is tasked with supporting all marketing operations strategies.

Essential Job Functions

Marketing Communications

  • Acts as a communication lead by scheduling and leading meetings, preparing internal and external agendas, meeting notes and status reports for internal and external stakeholders
  • Ensure communications, feedback, and coordination between internal and external teams are aligned
  • Promotional campaign management, including brief creation and coordination of all emails/text releases
  • Support content creation, review and approve all email blasts on behalf of Executives, Partners and Center Staff
  • Head liaison with website developers and freelancers. Developing and maintaining strong working relationships with external vendors

Marketing Project Management

  • Planning, management, and execution of marketing campaign projects from beginning to end
  • Responsible for coordinating website updates and maintenance with our offshore development partner
  • Maps out and defines the list of marketing projects that need to be completed to reach overall business goals
  • Manages third-party vendors, agencies, and contractors
  • Maintains organization and distribution of all marketing contracts, invoices, filing, and correspondence
  • Ensures all marketing projects are on track for due dates and provides communications updates to internal and external parties

Marketing Operations & Process Optimization

  • Responsible for budget management, including agency budgets and contractor budgets)
  • Develops checklists, templates, protocols, frameworks and any other standard operating procedures relevant to the marketing function
  • Oversee communication/coordination of film shoots/photo shoots (schedules, Image Release form collections, travel, SOW etc.)
  • Support ongoing testimonial recruitment processes and maintain the library of potential testimonials
  • Manages Marketing Campaign Calendar and creates monthly marketing updates
  • Trains and supports new marketing staff

Brand Compliance and Risk Management

  • Manages the review and approval process of marketing materials to ensure compliance
  • Stays abreast of Marketing trends by participating in educational opportunities

What you bring to the table

  • Both tactically competent (capable of “rolling up your sleeves”) and strategically adept with hands on expertise in the execution of marketing campaigns
  • Tech-savvy, results-driven and highly analytical with knowledge of metrics
  • Cross-functional operations planning and execution
  • A skilled communicator, both in writing and verbally, who always takes context and audience into account
  • Ethical and trustworthy
  • Bachelor’s degree in Marketing, Business, or related field preferred
  • 3 to 5+ years of marketing and or project management experience
  • Familiarity with HIPAA compliance and healthcare marketing best practices
  • Hands-on experience with CRM and SEO as well as Salesforce
  • Proficiency in project management tools and marketing methodologies
  • Nice to have project management/marketing certifications, i.e., Project Management Professional (PMP)
  • Occasional national travel (<5%)
