About the Role

The Operations Executive Assistant reports to the Chief Executive Officer of Cenegenics and supports our core functions and empowers others. The incumbent provides high-level support to busy executives to include a broad range of complex responsibilities involving confidential or technical information, conducting time-sensitive research, coordinating travel and meeting arrangements, preparing reports or other executive level correspondence and supplies ordering.  In addition, the incumbent is responsible for improving customer service and satisfaction by maximizing processes, continuous performance improvement and optimization across all operational processes.  As the nature of this position involves exposure to sensitive information, the individual in this role requires considerable use of tact, diplomacy, discretion, and professional judgement.



  • Provides support to executives including but not limited to scheduling calendars, submitting expenses, organizing office files, correspondence support, travel and accommodation requirements, administrative support and errands
    • Coordination of meetings associated to Partners meetings, MEC meetings, FHA meetings and AMMG conference
    • Creates templates and organizes documents
    • Takes meeting minutes/notes during executive and team meetings
    • Prepares facilities for team meetings, to include ordering lunches, preparing snacks etc.
    • Keeps track of deadlines and deliverables
  • Acts as cross-functional liaison between the Operations staff, Center Physicians/staff, Member Experience staff and Leadership staff and will ensure 5-star service through communications, operational excellence, and reliability
  • Confirms supply stock across operations and Centers and orders supplies to keep offices running like magic
    • Being savvy about where we spend money as it relates to office supplies ordering
    • Serve as an initial point of contact for questions related to office supply ordering, business cards, corporate supply ordering (i.e., logo materials)
  • Assists with coordination of various employee activities that promote employee engagement
    • Team anniversaries and birthday recognition
    • Monthly staff events coordination (i.e., Rally Calls)
    • Annual staff events coordination (working closely with People Team)
  • Demonstrates strong customer (internal/external) service skills and ability to manage professional and interpersonal relationships well
  • Assists with various ad-hoc research projects and/or special projects
  • Other duties may be assigned


Knowledge, Skills and Abilities

  • Ability to work with limited direction and ambiguity to manage flow and maintain focus on responsibilities and timelines
  • Must be detail oriented and able to handle complex instructions with care and follow-through
  • Demonstrated accuracy and thoroughness in execution of assigned tasks
  • Ability to adapt to change and work in a fast paced, demanding environment as no day will be the same and we need to be able to rely on you
  • Knowledge of office software, particularly the Microsoft Office Suite and Customer Relationship Management (CRM) software; experience with EMR preferred



  • High School Diploma/GED or equivalent
  • Minimum of 3 years of previous Executive Assistant or office administration experience
  • Ability to maintain strict confidentiality regarding sensitive and proprietary information
  • Excellent communication skills with the ability to clearly communicate in English, both verbally and in writing to all levels of personnel (Bi-lingual in Spanish preferred)
  • Must be able and willing to travel up to 25% of the time
